Job Summary

If you are looking to begin a career in the logistics or operations field then this is a great opportunity for you! MSS, Inc. is seeking a full-time Scheduling Assistant to support the Account Management team and their external contractors who provide various logistic services. 

The Scheduling Assistant will confirm all services requested are properly carried out with respect to time parameters, technical procedures, customer service and pricing. This position requires highly organized coordination, rapid response follow-up, superior problem solving skills and creativity to satisfy both customer needs and MSS business requirements in a high-volume work environment.

Essential Functions and Responsibilities:

  • Communicate specific scope of work requirements from client to sub-contractor and dispatch work orders.
  • Select approved qualified sub-contractors to fill each order, schedule, and dispatch accordingly.
  • Maintain consistent progress and status notes on jobs.
  • Research and on-board new sub-contractors as needed using a variety of resources.
  • Review sub-invoices and required paperwork per job and complete all billing in a timely manner as directed by Account Manager.
  • Maintain a detailed and organized system of emails and spreadsheets in order to accurately and easily report findings back to Account Managers.

Requirements:

  • All candidates must be able to work a 9:30AM - 6:30PM shift.
  • Must be able to work, a few times each year, overnight and weekends from home.
  • Experience in work scheduling, dispatching or high-volume customer service is desired. 
  • Logistics coordination is highly valued.
  • Ability to obtain detailed knowledge of services and technical applications.
  • Excellent verbal and written communication skills.
  • Associate or Bachelor’s degree desired.
  • Strong interpersonal and relationship-building skills.
  • Ability to work in a team environment a must.
  • Ability to interact daily with both clients and contractors on problem solving.
  • Computer proficiency in MS Office is required.  Advanced MS Excel skills are preferred.
  • Basic math skills needed to determine job costing, discounting and calculating profit margins are required.
